HomeMy WebLinkAbout2018 03 12 Informational 201 City Hall Renovations ScheduleCOMMISSION AGENDA ITEM 201 Informational X Consent Public Hearings Regular March 12, 2018 KS BF Regular Meeting City Manager Department REQUEST: The Community Development Department is advising the City Commission of the construction schedule and associated meeting impacts for the City Hall Renovations. SYNOPSIS: The City Hall Renovations will be under construction from April -August 2018. City Commission meetings in May, June, and July will be affected and accordingly re -located to the Winter Springs Senior Center while the Commission Chambers are unavailable. CONSIDERATIONS: . At the February 12, 2018 City Commission meeting, the Commission authorized entering into an agreement with Morton Construction, Inc. for construction of the City Hall Renovations project. The project includes renovation of the Commission Chambers and the Community Development front counter area. . Construction is scheduled to start in mid-March beginning with the Community Development front counter area. Work in the Commission Chambers is scheduled to start immediately following the City Commission meeting on April 23, 2018. Work in the Commission Chambers is scheduled to be complete in August 2018. The detailed construction schedule is attached as Exhibit A. . The following City Commission meetings are planned to be relocated to the Winter Springs Senior Center at 400 N. Edgemon Avenue: Informational 201 PAGE 1 OF 2 - March 12, 2018 May 14, 2018 June 11, 2018 July 9, 2018 The Winter Springs Senior Center has adequate meeting room space, facilities, and parking to accommodate regular City Commission meetings. All aspects of the current City Commission meetings, including security, audio recording, display screens, microphones, public seating, etc., will be available at the Senior Center. All regularly scheduled Senior Center activities will continue as planned on the days when City Commission meetings will be conducted at the Senior Center. Summer camp end -of -day pickup, which occurs at approximately 5:30 PM, will proceed as scheduled and will be coordinated to avoid any conflicts. . Board and Committee meetings scheduled from April -August 2018 will be relocated to the City Hall Training Room and/or to other locations to be determined. FISCAL IMPACT: There is no fiscal impact associated with the relocation of City meetings. COMMUNICATION EFFORTS: This Agenda Item has been electronically forwarded to the Mayor and City Commission, City Manager, City Attorney/Staff, and is available on the City's Website, LaserFiche, and the City's Server. Additionally, portions of this Agenda Item are typed verbatim on the respective Meeting Agenda which has also been electronically forwarded to the individuals noted above, and which is also available on the City's Website, LaserFiche, and the City's Server; has been sent to applicable City Staff, Media/Press Representatives who have requested Agendas/Agenda Item information, Homeowner's Associations/Representatives on file with the City, and all individuals who have requested such information. This information has also been posted outside City Hall, posted inside City Hall with additional copies available for the General Public, and posted at six (6) different locations around the City. Furthermore, this information is also available to any individual requestors. City Staff is always willing to discuss this Agenda Item or any Agenda Item with any interested individuals. RECOMMENDATION: Staff requests the City Commission receive and review the information provided in this Agenda Item. ATTACHMENTS: 1.
