Home My WebLink About2015 09 28 Consent 301 Police Vehicle Purchase COMMISSION AGENDA Informational Consent X ITEM 301 Public Hearings g Regular September 28, 2015 KL KB Regular Meeting City Manager Department REQUEST: The Police Department requests the consent of the Commission to purchase five (5) fully equipped Ford Interceptor SUV fleet vehicles using vendors Don Reid Ford and Public Safety USA for emergency equipment. The total purchase price for vehicles and equipment is $167,575. Pricing for the vehicles comes from Florida Sheriffs contract 14- 22-0904. SYNOPSIS: The Police Department desires purchase five brand new police fleet vehicles from budgeted FY16 funds. We have reached out to three Ford dealerships for vehicle pricing- Bartow Ford, Duval Ford, and Don Reid Ford. Don Reid Ford is a local dealership authorized to sell units at the approved State Sheriffs bid pricing and is the only vendor that has units in stock for immediate delivery. As specified, the units are priced at a total of$132,285. The emergency lighting vendor desired for use was Public Safety USA (Signal Technology Enterprises). They are requested over the other two since they are: 1) lower priced than one vendor; 2) one other vendor (Dana Safety Supply) has not consistently provided reliable customer service to our agency in the past, nor do they deal in the specific equipment we desire from Public Safety USA; 3) the other vendor, Chief Supply, is more expensive than the other two. For these reasons, Public Safety USA was selected. The cost of equipment for all vehicles is approximately $35,290. The total expenditure for this purchase will be $167,575. Consent 301 PAGE 1 OF 2-September 28,2015 CONSIDERATIONS: Don Reid Ford has inventory ready for immediate delivery and at the State contract price. Since these factors are present, it will make the purchase and turn-around time to equip the vehicles and put them into service marginal. There will also not be any delivery fees incurred since the pickup is local. The purchase of the emergency equipment from Public Safety USA should be considered since they have the ability to turn the vehicles out for use in the quickest manner possible. Although they are priced slightly ahead of the next closest vendor, their turn-around time and the inadequate customer service of the next closest vendor makes them the best choice for this purchase. FISCAL IMPACT: Funding for these vehicles will come from the $167,575 budgeted FY16 funds and will not be requested until October 01, 2015. COMMUNICATION EFFORTS: This Agenda Item has been electronically forwarded to the Mayor and City Commission, City Manager, City Attorney/Staff, and is available on the City's Website, LaserFiche, and the City's Server. Additionally, portions of this Agenda Item are typed verbatim on the respective Meeting Agenda which has also been electronically forwarded to the individuals noted above, and which is also available on the City's Website, LaserFiche, and the City's Server; has been sent to applicable City Staff, Media/Press Representatives who have requested Agendas/Agenda Item information, Homeowner's Associations/Representatives on file with the City, and all individuals who have requested such information. This information has also been posted outside City Hall, posted inside City Hall with additional copies available for the General Public, and posted at five (5) different locations around the City. Furthermore, this information is also available to any individual requestors. City Staff is always willing to discuss this Agenda Item or any Agenda Item with any interested individuals. RECOMMENDATION: Approve the purchase of five fully equipped police vehicles using vendors Don Reid Ford and Florida Sheriff s bid and Public Safety USA as described in detail above for a total of $167,575 in FY 16.
