REQUEST:
The Police Department wishes to update the City Commission on the completion of the
Communications Center Renovation Project.
SYNOPSIS:
This agenda item is presented to update the Commission on the completion of the
Communications Center Renovation Project.
CONSIDERATIONS:
On March 23, 2015, the City Commission approved the Police Department
Communications Center renovation project. The project started on May 1, 2015
when our dispatchers were moved over to the Seminole County Sheriff's Office backup
Communications Center in Lake Mary. The transition went as expected as all of our
administrative phone lines, 9-1-1 emergency phone lines and our fax phone line was
transferred over. Once our dispatchers were in full operation the Communications
Center at the Police Department was shut down. At this time, all existing equipment
was removed from the Communications Center and stored in a secure office within the
Department. All of the old furniture was removed and the flooring carpet was removed.
Shortly thereafter, all of the old data cabling was removed and new cable was installed
and marked for future reference. Electrical outlets were moved and new ones installed
in the proper areas. Original room lighting was removed and replaced with new, energy
efficient LED style lights. The walls were cleaned and painted and the new carpet was
installed.
On May 26, 2015, the new furniture arrived and installation began. Once the furniture

was installed the data cabling was wired and finished. When the room was determined
to be ready, all of the data equipment was brought back into the Communications Center
and thoroughly tested. The transition back to our Communications Center occurred on
June 4, 2015- four days ahead of schedule. All of our telephone phone lines were
transferred back to our main building and both our newly renovated Communications
Center and the backup center were kept operational until we were certain all components
and systems were working as desired. The transition went smooth and the backup center
operations were terminated.
This project took an incredible amount of planning and coordination to ensure vital
services to our citizens were not compromised in any way. During the entire project,
communication between vendors and contractors was vital to make sure timelines were
maintained and the project kept moving. We are pleased with the cooperation we
received from our counterparts in the law enforcement profession and the inter-agency
cooperation we saw in all facets of this project from inception to completion. The
project was completed within budgetary limits and ahead of schedule.
FISCAL IMPACT:
As mentioned above, this renovation project was completed on the proposed budget.
Original Cost Evaluation: $104,855.81
9-1-1 Reimbursement: ($27,079.75)
Total cost for the renovation: $77,776.06
COMMUNICATION EFFORTS:
This Agenda Item has been electronically forwarded to the Mayor and City Commission,
City Manager, City Attorney/Staff, and is available on the City's Website, LaserFiche, and
the City's Server. Additionally, portions of this Agenda Item are typed verbatim on the
respective Meeting Agenda which has also been electronically forwarded to the individuals
noted above, and which is also available on the City's Website, LaserFiche, and the City's
Server; has been sent to applicable City Staff, Media/Press Representatives who have
requested Agendas/Agenda Item information, Homeowner's Associations/Representatives
on file with the City, and all individuals who have requested such information. This
information has also been posted outside City Hall, posted inside City Hall with additional
copies available for the General Public, and posted at five (5) different locations around the
City. Furthermore, this information is also available to any individual requestors. City Staff
is always willing to discuss this Agenda Item or any Agenda Item with any interested
individuals.
RECOMMENDATION:
Staff requests the City Commission receive and review the information provided in this
Agenda Item.
