REQUEST:
Information Services wishes to update the Commission on
status of the acquisition of a new document camera for the
Commission chambers and requests authorization to delay
acquisition until after new projectors are purchased next
fiscal year.
PURPOSE:
The purpose of this item is to request authorization from
Commission to delay the purchase of a new document camera
until after the purchase of new projectors next fiscal year.
CONSIDERATIONS:
In a recent budget workshop, a directive from the commission
was given for Information Services to replace or improve the
document camera currently being utilized in the Commission
Chambers. The complaint from the Commission was that the
camera was not as clear as they would like it to be.
The document camera located in the Commission Chambers
was purchased in 1999. Several audio visual vendors were

contacted for proposals and only three vendors responded. Our
document camera appears to be a higher-end one according to
our research and a comment from one of the larger vendors that
responded. The vendor recommended that we replace the
projectors first and then look, if necessary, at replacing the
document camera. The document camera we have right now
cost $11,753 including installation costs. A new and improved
replacement camera, recommended by that same vendor will be
approximately $13,400.
FUNDING: $0
RECOMMENDA TIONS:
Information Services recommends that we keep the current
document camera until after new projectors are purchased next
fiscal year. We can then determine if the new proj ectors will
make a significant difference in the clarity of the document
camera images. If it is determined that a new document camera
is warranted, then a new one will be purchased at that time.
