REQUEST: Public Works Department Requesting Supplemental Appropriation for the
Replacement of the City Hall Commission Chambers Air Conditioning Unit.
PURPOSE: The purpose of this Board item is to request a supplemental appropriation of $9,600
for the Replacement of the City Hall Commission Chambers Air Conditioning Unit by
Westbrook.
CONSIDERATIONS:
This supplemental appropriation is needed to replace A1C unit that serves the
Commission Chambers. This unit is one of the four remaining original AlC units of the ten
which were installed for City Hall in 1984. Westbrook has provided A1C service and
maintenance for the City's facilities the last two years. They have brought the deteriorating
condition ofthis unit to our attention. Facilities maintenance staff also recommends this unit
for replacement due to it's' condition and age.
The scope of work includes removal and replacement with a 7.5 ton Lennox unit
including crane costs for a fee of$8,725.00. A 10% contingency is also requested to add an
electrical disconnect and any miscellaneous costs which may arise.
FUNDING:
The $9,600 would be appropriated from General Fund Reserves to a capital
line code in the General Services - City Hall budget and a project number assigned.

RECOMMENDA TION:
It is recommended that the City Commission approve a supplemental
appropriation of $9,600 to General Services - City Hall Capital Improvement
(Buildings) line code (1910-62000) for the replacement ofthe Commission Chambers
AlC unit by Westbrook.
IMPLEMENTATION SCHEDULE:
The funds will be transferred after Commission approval and the AlC unit replaced
within 45 days.

Westbrook SelVice Corporation, herein after referred to as "Westbrook", proposes to furnish the products and selVice
described below subject to all the Tenus and Conditions listed on the attached sheets (c:\data\contract\conttenu, pages
I, 2 & 3). For your convenience, the primary essentials are sbown here on. Any changes to the terms and conditions
must be initialed and dated by both signatories to this agreement.
SCOPE OF WORK
1. Properly remove and dispose of existing unit via 70 ton crane.
2. Set new 7.5 ton Lennox 460 volt unit on adapter curb.
3. Make proper duct transitions.
4. Connect new unit to existing low voltage wiring.
5. Install new manual outside air damper.
6. Install new 15 KW
7. Properly secure new unit.
8. City of Winter Springs will be providing electrical work and upgrading.
9. Start and verify the proper operation of unit.
Excluded: Any electrical upgrades or electrical permits.
Price: Bonds are not included but can be furnished at extra cost. On-site labor provided by us will be non union.
Payment: Our month-end invoices will be payable by the 10th of the following month. No retainage or discounts.
Acceptance: Price quoted is good for 30 days. If acceptable, sign and return within 30 days. Contract is binding only
when accepted and signed by an officer ofWesthrook. If you issue your own purchase order or contract, it must include
the same price, tenus and conditions from this proposal. If your contract has additional terms, they will be subject to
Westbrook's approval. This contract is non transferable.
TOTAL PRICE: Eight Thousand Seven Hundred and Twentv Five Dollars $8,725.00
NOTE: This unit has a (2) week lead time.
