HomeMy WebLinkAbout2005 07 11 Regular Item 505- 2005 Advisory Board Appreciation Dinner COMMISSION AGENDA ITEM 505 Consent Informational Public Hearing Regular X July 11. 2005 Regular Meeting MW./V / ~ Authorization REQUEST: The City Clerk is requesting the City Commission consider additional information regarding the proposed 2005 Advisory Board and Committee Appreciation Dinner. PURPOSE: This purpose of this Agenda Item is to request that the City Commission review the latest information on the proposed 2005 Advisory Board and Committee Appreciation Dinner. CONSIDERATIONS: At the June 27,2005 City Commission Regular Meeting, the consensus of the City Commission was to hold the proposed 2005 Advisory Board and Committee Appreciation Dinner at the Winter Springs Golf Club on either Saturday, October 8,2005 or Saturday, October 29,2005. CITY OF WINTER SPRINGS, FWRIDA CITY COMMISSION REGULAR MEETING - JULY 11,2005 REGULAR AGENDA ITEM 505 PAGE20F4 These dates were suggested with consideration of Commissioner Robert S. Miller's schedule, as Commissioner Miller was not in attendance at the Saturday, June 27, 2005 City Commission Meeting. On the morning of June 28, 2005, my Deputy called the Winter Springs Golf Club to ask them to hold the dates of October 8, 2005 or October 29, 2005, until we could confirm with Commissioner Miller as to which date(s) he could attend - but found out that Saturday, October 29, 2005 had already been reserved by another organization, so we asked the Winter Springs Golf Club to hold Saturday, October 8, 2005 for our City. Later on the evening of June 28, 2005, I found out that Commissioner Miller would be able to attend if this Event was held on October 8, 2005. The next day, during the City Manager's Staff Meeting, discussion arose on the location for this Event and some staff expressed their concern about the Winter Springs Golf Club's financial situation, as they are currently undergoing some major ownership/restructuring issues; thus the following problems could be an issue: 1. The Office of the City Clerk could continue working on holding this Dinner on Saturday, October 8, 2005 at the Winter Springs Golf Club and send out invitations; and have over 100 people planning to attend; and arrange and purchase the required items for this Event; and then possibly one (1) month from now, or perhaps one (1) week, or even one (1) day before the planned Event - this location could potentially close leaving the City in a terrible predicament. 2. No other location would reserve a date for us just to help us out in case of the above scenario, as they would experience a loss of revenue. 3. There is another issue with the Winter Springs Golf Club - our City's Fire Department has posted a maximum capacity of 120, so if everyone did attend, we would be in a very difficult situation of possibly turning away some guests. Our last Event at the Winter Springs Golf Club was very crowded with approximately 108 guests in attendance. ADDITIONAL CONSIDERATIONS: The City Commission may wish to have the Office of the City Clerk continue on with the planning of this Event at the Winter Springs Golf Club or CITY OF WINTER SPRINGS, FLORIDA CITY COMMISSION REGULAR MEETING - JULY I I, 2005 REGULAR AGENDA ITEM 505 PAGE 3 OF 4 The City Commission may wish to consider the Tuscawilla Country Club for this year's Event, in lieu of the potential problems that may arise over the next few months at the Winter Springs Golf Club. Therefore, if the City Commission would be interested in holding the proposed 2005 Advisory Board and Committee Appreciation Dinner at the Tuscawilla Country Club, the following dates are available (as of late Wednesday, June 29, 2005). Please note that there are no Saturday dates available, and currently only one (1) Friday available: August: Friday, August 19, 2005 Sunday, August 21, 2005 Sunday, August 28, 2005 September: Sunday, September 4, 2005 Sunday, September 11, 2005 Sunday, September 18,2005 Sunday, September 25, 2005 October: Sunday, October 2, 2005 Sunday, October 16, 2005 Sunday, October 23, 2005 Sunday, October 30, 2005 November: Sunday, November 6, 2005 Sunday, November 13, 2005 CITY OF WINTER SPRINGS, FLORIDA CITY COMMISSION REGULAR MEETING - JULY 1 I. 2005 REGULAR AGENDA ITEM 505 PAGE 4 OF 4 RECOMMENDATIONS: COMMISSION ACTION: The City Commission is requested to consider the information in this Agenda Item and decide if they wish to stay with holding the 2005 Advisory Board and Committee Appreciation Dinner at the Winter Springs Golf Club or to change the location for this Event to the Tuscawilla Country Club in lieu of potential problems. If the Tuscawilla Country Club is selected, then the City Commission is requested to approve this change, and to select three (3) to four (4) dates for the 2005 Advisory Board and Committee Appreciation Dinner.
