REQUEST: City Manager wishing to inform the Commission of the City's current efforts regarding
communication with our citizens /customers.
PURPOSE: This agenda item is needed to provide the Commission with information regarding the City's
current efforts regarding communication with our citizens /customers.
CONSIDERATIONS:
Recently, several questions and comments have surfaced regarding the City's communication with our
citizens /customers. In this regard, staff thought it useful to provide the following list of communication vehicles
currently utilized by the City:
1. City Commission and Advisory Board /Committee Agendas/Notices are posted:
Outside City Hall
Inside City Hall (2 locations Art Board and Binders in Lobby)
And at the following five (5) locations:
Hacienda Village (2 locations)
The Highlands Clubhouse
The Tennis Villas Clubhouse
The Tuscawilla Golf Club Pro Shop
2. Commission Meeting Audio available live and archived on -line, and via pod -cast
3. "Public Input" available at City Commission and Advisory Board /Committee meetings
4. Legal Advertisements in Orlando Sentinel (when applicable)
5. Messages and /or Inserts in Utility Bills
6. Public Hearings 2 readings with advertisement on 2n Reading and "Public Input" opened during the
discussion of the Agenda Item for each Reading
7. Signs related to Land Use Changes
8. Bids /RFP's noted in Orlando Sentinel and on -line at City website and Demand Star
9. Agenda Items sent to residents (when applicable)
10. Targeted direct mailing to residents (when applicable /cost effective)
11. FAQ's and explanatory letters on applicable topics (on website)
12. City Newsletter
13. "Did you Know" brochures
14. Telephone
15. Email
16. City Website
17. Mayor and City Commission personal contact information fully available
18. Press Releases

24. Community and Business Visioning Workshops (including hand delivery of Business Workshop flyers to
local businesses)
Staff recognizes that although this list is quite comprehensive, room for improvement does exist. Thus, staff is
diligently working on several process improvements in this area, including:
Finalizing plans for a permanent electronic sign at City Hall.
Presenting a City Booth /Tent at the annual Christmas Tree Lighting and future events. This booth /tent
will afford staff and the Commission the opportunity to provide various literature /brochures and
information regarding City services to our many citizens /customers that attend these events.
Finalizing plans for our first Winter Springs Citizen's Academy to offer a unique look/insight into the
operations of Winter Springs city government.
Consistent with our adopted Strategic Plan, staff will continue to examine additional opportunities to improve
communication with our customers, within associated fiscal limitations (i.e., cost benefit analysis).
