Anthony,
I received you response to Andrea in reference to originals and I am not clear as to what the question was.
However, from the response you have provided we are currently following your suggestions already. In response
to item 1. the Code Enforcement Bureau prepares the cases with all the originals, correspondence, evidence,
liens, and maintain all of these files in accordance with Chapter 119 Florida Statues. As you know these files are
subject to public record and inspection per City and Department policy. In item 2 you reference liens and lien
orders. We currently have original files on all outstanding liens, satisfaction of liens and including code
enforcement citation judgments. My office is responsible for the preparing, recording, and filing fees associated
with these judgments and they concurrently are filed in our office with the originals.
The Police Department is scheduled along with all the other City Departments for scanning documents,
records indicated for retention in a City wide plan. Again I am not sure what the confusion was on original
documents. The Clerks office provides staff for the Code Enforcement meetings and provided us with the minutes
and the orders of the board. We are aware of the procedures for the handling of records cited in your response
and thank you for recommendations and we will coordinate with the Clerks Office in the future to also be available
to answer any questions that they may have regarding Code Enforcement.
