HomeMy WebLinkAbout2013 08 12 Regular 603 City Commission Meeting Schedule COMMISSION AGENDA Informational Consent ITEM 603 public Hearings g Regular X August 12, 2013 KS Regular Meeting City Manager Department REQUEST: The City Manager is requesting Commission input and direction on Commission Meeting scheduling for the remainder of calendar year 2013. SYNOPSIS: This agenda item is needed to gain Commission input and direction on Commission Meeting scheduling for the remainder of Calendar Year 2013. CONSIDERATIONS: As you know, regular Commission meetings are scheduled for the second and fourth Monday of each month. Multiple holidays affect, either directly or indirectly, the regular Commission meeting schedule for the remainder of calendar year 2013 as follows: November 11: 1st regularly scheduled meeting for November. This date is also Veteran's Day, a City holiday. November 25: 2nd regularly scheduled meeting for November. th Thanksgiving Day, a City holiday, is that same week on November 28 . December 23: 2nd regularly scheduled meeting for December. Christmas Day, a City holiday, is on Wednesday of that same week. The Commission has multiple options in this regard, to include canceling and/or rescheduling the related meeting (as has been the case previously). Per City Charter (Section 4.13(a)), the Commission is required to meet regularly at least once every month. Regular 603 PAGE 1 OF 3-August 12,2013 With this in mind, the Commission may want to consider utilizing the following schedule for November& December 2013: November Cancel the November 11 meeting, in respect and observation of Veteran's Day. Cancel the November 25 meeting in light of Thanksgiving week. Add a November 18 meeting (3rd Monday in November) to effect City and Commission business for the month of November. December Hold the regularly scheduled meeting of December 9 as planned to effect City and Commission business for the month of December. Cancel the December 23 meeting, in light of Christmas week. Additionally, in order to begin preparing for planning for calendar year 2014, the following is provided for Commission's information and consideration: January New Year's Day is on Wednesday in 2014 and Martin Luther King, Jr. Day is on Monday January 20 in 2014. Neither date conflicts with a regular Commission meeting date (January 13 and 27). May May 26: 2nd regularly scheduled meeting for May 2014. This date is also Memorial Day, a City holiday. Thus, a conflict exists. July Jules: 1st regularly scheduled meeting for July 2014. This week is the same week the Commission would likely hold its Budget Workshop. Independence Day, a City holiday, is two Fridays preceding. September Sept 8: 1st regularly scheduled meeting for September. Labor Day, a City holiday, is the preceding Monday, September 1 and thus does not conflict. November Nov 10: 1st regularly scheduled meeting for November. Veteran's Day, a City holiday, is on Tuesday November 11 in 2014 and thus does not conflict. Nov 24: 2nd regularly scheduled meeting for November. Thanksgiving Day, a Regular 603 PAGE 2 OF 3-August 12,2013 City holiday, is that same week on November 27h in 2014. December Dec 22: 2nd regularly scheduled meeting for December. Christmas Day, a City holiday, is on Thursday of that same week. FISCAL IMPACT: There is no fiscal impact associated with this agenda item. COMMUNICATION EFFORTS: This Agenda Item has been electronically forwarded to the Mayor and City Commission, City Manager, City Attorney/Staff, and is available on the City's Website, LaserFiche, and the City's Server. Additionally, portions of this Agenda Item are typed verbatim on the respective Meeting Agenda which has also been electronically forwarded to the individuals noted above, and which is also available on the City's Website, LaserFiche, and the City's Server; has been sent to applicable City Staff, Media/Press Representatives who have requested Agendas/Agenda Item information, Homeowner's Associations/Representatives on file with the City, and all individuals who have requested such information. This information has also been posted outside City Hall, posted inside City Hall with additional copies available for the General Public, and posted at five (5) different locations around the City. Furthermore, this information is also available to any individual requestors. City Staff is always willing to discuss this Agenda Item or any Agenda Item with any interested individuals. RECOMMENDATION: The City Manager recommends that the Commission provide input and direction on meeting scheduling for the remainder of Calendar Year 2013. ATTACHMENTS: None.
