HomeMy WebLinkAbout2013 03 11 Informational 103 Boards and Committees New Start Times and Dates COMMISSION AGENDA Informational X Consent ITEM 103 Public Hearings g Regular March 11, 2013 KS ALLL Regular Meeting City Manager Department REQUEST: The City Clerk is requesting that the City Commission review the information in this Agenda Item related to their Board and Committee Meeting start times, in consideration of some recent changes. SYNOPSIS: The City Commission has a number of Boards and Committees and some meet on a monthly basis, and some meet quarterly. One Committee meets annually. A few months ago, the Mayor and City Commission were advised about a change to the Code Enforcement Board meeting day. Since then, some of the City's other Boards and Committees, specifically the Bicycle and Pedestrian Advisory Committee, the Parks and Recreation Advisory Committee, and the Tuscawilla Lighting and Beautification District Advisory Committee Members have agreed to some kind of a change to the time when their Regular Meetings will begin. This Agenda Item is being presented to keep the Mayor and City Commission informed about the current meeting times/days for the City's Boards and Committees. CONSIDERATIONS: The following list includes the City's current Boards and Committees and their current meeting day and time: Bicycle and Pedestrian Advisory Committee: Regular Meetings are scheduled on a quarterly basis, on the third Wednesday of March, Informational 103 PAGE 1 OF 3-March 11,2013 June, September, and December at 5:30 p.m. (This is a new meeting time for this Advisory Committee). Board of Trustees: Regular Meetings are scheduled on a quarterly basis, on the second Tuesday of February, May, August, and November at 5:30 p.m. Code Enforcement Board: Regular Meetings are scheduled on a monthly basis, on the fourth Tuesday of each month at 5:30 p.m. (This reflects a relatively new meeting day of the month for this Board). Oak Forest Wall and Beautification District Advisory Committee: A Regular Meeting is scheduled annually, on the second Thursday of May at 7:00 p.m. Parks and Recreation Advisory Committee: Regular Meetings are scheduled on a quarterly basis, on the first Tuesday of February, May, August, and November at 6:00 p.m. (This is a new meeting time for this Advisory Committee). Planning and Zoning Board/Local Planning Agency: Regular Meetings are scheduled on a monthly basis, on the first Wednesday of each month at 5:30 p.m. Tuscawilla Lighting and Beautification District Advisory Committee: Regular Meetings are scheduled on a quarterly basis, on the third Wednesday of January, April, July, and October at 5:30 p.m. (This is a new meeting time for this Advisory Committee). Districting Commission: Meets every three (3) years per the City Charter, and the newest Districting Commission recently appointed is scheduled to begin meeting very soon. (Day and time to be determined soon). Concluding, the Bicycle and Pedestrian Advisory Committee, the Parks and Recreation Advisory Committee, and the Tuscawilla Lighting and Beautification District Advisory Committee have made recent changes to their Regular Meeting start times, as reflected above. FISCAL IMPACT: As all of these Boards and Committees Budgets were submitted and approved for Fiscal Year 2012-2013, there are no cost savings to the current Budget with the recent change in meeting times. COMMUNICATION EFFORTS: This Agenda Item has been electronically forwarded to the Mayor and City Commission, City Manager, City Attorney/Staff, and is available on the City's Website, LaserFiche, and the City's Server. Additionally, portions of this Agenda Item are typed verbatim on the respective Meeting Agenda which has also been electronically forwarded to the individuals Informational 103 PAGE 2 OF 3-March 11,2013 noted above, and which is also available on the City's Website, LaserFiche, and the City's Server; has been sent to applicable City Staff, Media/Press Representatives who have requested Agendas/Agenda Item information, Homeowner's Associations/Representatives on file with the City, and all individuals who have requested such information. This information has also been posted outside City Hall, posted inside City Hall with additional copies available for the General Public, and posted at five (5) different locations around the City. Furthermore, this information is also available to any individual requestors. City Staff is always willing to discuss this Agenda Item or any Agenda Item with any interested individuals. The Bicycle and Pedestrian Advisory Committee, the Parks and Recreation Advisory Committee, and the Tuscawilla Lighting and Beautification District Advisory Committee Members have approved the changes. Furthermore, Office of the City Clerk Staff have been sending all of the applicable Board and Committee Members courtesy reminders of any new start time(s), as applicable. RECOMMENDATION: Staff requests the City Commission receive and review the information provided in this Agenda Item. ATTACHMENTS: None. Informational 103 PAGE 3 OF 3-March 11,2013
