HomeMy WebLinkAbout2012 10 22 Consent 208 Utility Backhoe Purchase COMMISSION AGENDA     Informational Consent ITEM208 Public Hearings Regular X       October 22, 2012KSKL Regular MeetingCity ManagerDepartment         REQUEST: Utility Department Requesting Approval to Piggyback Purchase a Backhoe from Ringpower CAT at a Net Cost of $50,272.00.    SYNOPSIS: The Utility Department is requesting to replace two existing backhoes by trading them in for one new backhoe at a net cost of $50,272.00.  The cost for the new backhoe with the options that are needed totals $78,772.  The trade in value for the two existing backhoes is $28,500 reducing the net cost to $50,272.   CONSIDERATIONS: The Utility Department has two backhoes purchased in 1996 and 1997 which are used extensively for the repair and maintenance of the water, sewer and reclaimed water systems.  During the past three years, repair costs have exceeded $27,000 on these two pieces of equipment. The Florida Sheriff's Association annually conducts bids for equipment and vehicles.  Bid #12-10-0905, Specification #28 is for a 4X4 Loader Backhoe with Canopy.  Utilizing this bid, the cost for the backhoe with the options that are needed totals $78,772 with Ringpower CAT as the low bidder.  The trade in value for the two existing backhoes is $28,500 reducing the net cost to $50,272.  The two existing backhoes were approved for trade in at the October 8th City Commission under the Surplus Asset Consent Agenda item. FISCAL IMPACT: The Utility Backhoe was budgeted in the FY 2012-2013 Utility budget in line code 3600- Regular 208 PAGE 1 OF 2 - October 22, 2012 64000.   COMMUNICATION EFFORTS: This Agenda Item has been electronically forwarded to the Mayor and City Commission, City Manager, City Attorney/Staff, and is available on the City’s Website, LaserFiche, and the City’s Server. Additionally, portions of this Agenda Item are typed verbatim on the respective Meeting Agenda which has also been electronically forwarded to the individuals noted above, and which is also available on the City’s Website, LaserFiche, and the City’s Server; has been sent to applicable City Staff, Media/Press Representatives who have requested Agendas/Agenda Item information, Homeowner’s Associations/Representatives on file with the City, and all individuals who have requested such information. This information has also been posted outside City Hall, posted inside City Hall with additional copies available for the General Public, and posted at five (5) different locations around the City. Furthermore, this information is also available to any individual requestors. City Staff is always willing to discuss this Agenda Item or any Agenda Item with any interested individuals.   RECOMMENDATION: The Utility Department is requesting approval to piggyback purchase a 4X4 Loader Backhoe with Canopy using the Florida Sheriff's Association Bid #12-10-0905, Specification #28 from Ringpower CAT at a net cost of $50,272 payable from the Utility Capital Equipment line code - 3600-64000.  ATTACHMENTS: None Regular 208 PAGE 2 OF 2 - October 22, 2012
