Regular Meeting Authorization REQUEST: City Manager and Finance Department transmitting the City's fiscal third quarter financial reports for the 2011 fiscal year via The Executive Dashboard. SYNOPSIS: Transmission of the third quarter financial report for fiscal year 2011 is being presented using the new dashboard technology /software. This design and concept was presented at the June 13, 2011 Regular Commission Meeting (Informational 102). CONSIDERATIONS: A digital dashboard is an executive information system that (similar to an automobile's dashboard) is designed to be easy to read and display critical information about the overall performance and financial health of an organization. These key metrics are displayed in a graphical format that can be read quickly to determine if the organization is functioning within the acceptable range. The financial statements and reports are unaudited and incorporate fiscal year activity from October 1, 2010 through June 30, 2011. It is the intent of the staff to continue to add additional reports and graphs to the existing catalog in the coming months. This will continue to increase the financial transparency of The City of Winter Springs. To view the reports please access them at: http://www.winterspringsfl.org/en/dashboard/ FISCAL IMPACT: The fiscal impact of this new modeling will be measurable over the next several years. The cost of the software is nominal. COMMUNICATION EFFORTS: This Agenda Item Has Been Electronically Forwarded To The Mayor And City Commission, City Manager, City Attorney /Staff, And Is Available On The City's Website, LaserFiche, And The City's Server. Additionally, Portions Of This Agenda Item Are Typed Verbatim On The Respective Meeting Agenda Which Has Also Been Electronically Forwarded To The Individuals Noted Above, And Which Is Also Available On The City's Website, LaserFiche, And The City's Server; Has Been Sent To Applicable City Staff, eAlert/eCitizen Recipients, Media/Press Representatives Who Have Requested Agendas /Agenda Item Information, Homeowner's City Commission — Regular Meeting August 22, 2011 Informational Agenda Item #102 Page 2 of 2 Associations/Representatives On File With The City, And All Individuals Who Have Requested Such Information. This Information Has Also Been Posted Outside City Hall, Posted Inside City Hall With Additional Copies Available For The General Public, And Posted At Five (5) Different Locations Around The City. Furthermore, This Information Is Also Available To Any Individual Requestors. City Staff Is Always Willing To Discuss This Agenda Item Or Any Agenda Item With Any Interested Individuals. RECOMMENDATION: It is recommended that the City Commission review and receive the third quarter financial report for 2011 via the new dashboard reporting technology /software financial reports as an alternative to traditional static paper reports.
