REQUEST:
The Parks and Recreation Department is requesting that the City
Commission approve a Supplemental Appropriation from General Fund
Reserves in the amount of $ 20,500.00 to fund additional July 4, 2004
expenses.
PURPOSE:
The purpose of this item is to approve additional needed funding for July
4,2004 expenses.
CONSIDERATIONS:
. At the April 12, 2004 Meeting, the City Commission approved city staff providing the
Staging, Lighting, Sound System, Entertainment, Vendors, etc. that in prior years was
provided by a Radio Station. A total cost of $ 53,000.00 was approved.
. Due to increased costs of Staging, Audio, Lighting, Tents and Tables, Entertainment,
Sanitation Services, Fencing, Video, Electrical Needs, Shuttle Buses, and Fireworks, an
additional $ 20,500.00 is needed.
. Total revenue of $ 8,450.00 was brought in City revenue from sponsors and vendors.
. The Winter Springs Rotary Club expended $ 7,700.00 for the event plus provided 25
workers to work the event.
. The late afternoon and evening rain put a damper on the event; however staff and event
contractors did the best they could to complete the program.
FUNDING:
To date $ 53,000.00 has been appropriated for the event. A total of
$ 20,500.00 is requested as a Supplemental Appropriation from General
Fund Reserves to fund additional July 4,2004 expenses bring the total for
request for appropriation to 73,500.00.
Our out of pocket expenses last year was approximately $ 40,000.00
indicating the Cox Radio contribution was probably in the neighborhood
of $ 24,000.00 and the City improved the event for another $9,500 for a
total of $ 73,500.00
RECOMMENDATIONS:
The Parks and Recreation Department is recommending that the City Commission approve a
Supplemental Appropriation from General Fund Reserves in the amount of $ 20,500.00 for
