REQUEST:
The City Clerk respectfully requests the City Commission to utilize funds
set aside for Records Management in the FY'04 City Clerk's Budget to
employ a second Deputy City Clerk dedicated to Records Management.
PURPOSE:
This Agenda Item is needed to secure Commission authority to utilize
Records Management funds set aside in the FY'04 Clerk's Budget to
employ a second Deputy City Clerk dedicated to Records Management.
FUNDING:
Funds are currently available under "Executive - City Clerk - 1210."
CONSIDERATIONS:
Funds in the amount of $25,000.00 were appropriated in the FY'04 City
Clerk's Budget for Records Management.
During the Budget Workshops, we were not certain as to the best strategy
for implementing the Records Management Project.

After discussion with the Information Services Department Director and
the City Manager, we believe the funds set aside for Records management
would be more efficiently used by employing a second Deputy City Clerk
dedicated to Records Management.
This Deputy City Clerk position would primarily be responsible for the
City's Records Management program under the general direction of the
City Clerk. This position would also work in coordination with the
Information Services Department Director.
RECOMMENDATIONS:
The City Commission is respectfully being asked to approve the utilization
of the funds set aside in the FY'04 Clerk's Budget to employ a second
Deputy City Clerk dedicated to Records Management.
