REQUEST:
Information Services requests that the Commission
authorize an additional appropriation in the amount of
$3,700 to put Public Works phone system on fiber instead
of the existing copper.
PURPOSE: To obtain additional appropriation in the amount of $3,700 to put Public
Works phone system on fiber instead of the existing copper.
CONSIDERATIONS:
Public Works is connected to the City phone system via copper wiring that runs
between the Fire Department (102 N.Moss Rd.) and the Public Works Complex
(110 N. Flamingo Ave.). During the months when there are frequent thunder and
lightning storms, the phone system at Public Works is frequently hit by lightning
and sometimes the phone system at the Fire Department is hit as well because of
the copper connecting the two buildings. This used to be the case at Central
Winds Park as well between the Admin Building and the Maintenance Building
until the copper was replaced with fiber. Now, lightning is no longer an issue at
Central Winds Park with regard to the phone system.
When the phone system is hit by lightning, it is not covered under our
maintenance agreement and therefore, generates an associated cost each time this

happens. When a card in the switch is hit, the cost is somewhere around $1,400.
However, if other equipment is affected, there are additional costs for other cards,
phone sets or other peripherals within the phone system. Li2htnin2 strikes
affect the phone system several times per year. costin2 thousands of dollars.
Items costing less than $25,000 are covered under the City's insurance (blanket
equipment endorsement) which carries a $1,000 deductible per incident.
Lightning strikes will no longer be an issue if we connect the Public Works
Building to our phone system with fiber. The City currently owns dark fiber
between the Police Department and the Public Works buildings; so the only cost
to put the phone system on that fiber is the cost of the end equipment plus labor.
This will require us to purchase a Mitel SuperSet Hub Package and several hours
labor. This project can be completed for the requested $3,700.
This will save the City thousands of dollars in the future with regard to repairs for
lightning damage.
FUNDING: Additional appropriation in the amount of $3,700 ($1,850 from General Fund and
$1,850 from Utility Enterprise Fund).
RECOMMENDATIONS:
We recommend that the Commission authorize an additional appropriation in the
amount of $3,700 for this project ($1,850 General Fund/$1,850 Utility Enterprise
Fund) for the completion of this project.
