Authorization ITEM 301 REQUEST: The City Manager requesting the City Commission to remove from the table Agenda Item # 303, tabled at the August 14,2006 meeting. PURPOSE: The purpose of this agenda item is to consider this time sensitive agenda item # 303. CONSIDERATIONS: On August 14,2006 the Commission tabled this matter for consideration in budget discussion. This fall event is budgeted in the FY 06 budget. If the Commission desires this year's event to go forward, that decision must be made at this time. FUNDING: Budgeted Community Events - 7260 Fall Event # 54800 for $ 50,000. RECOMMENDATIONS: The City Manager recommending removal from the table Agenda Item #303 for consideration. Authorization REQUEST: The Parks and Recreation Department requests direction from the City Commission to proceed with the planning for a large Fall Event on Saturday, October 7, 2006 at the Winter Springs Town Center or Five (5) smaller "Dancing in the Streets" events, or any decision they deem necessary. PURPOSE: To obtain City Commission approval to proceed with the planning for a large fall event or Five (5) smaller events. CONSIDERATIONS: Commissioner Krebs at the July 10, 2006 meeting requested information on a Fall Event. Staff has tentatively planned a Fall Event "Hometown Harvest" on October 7, 2006 from 5:30 pm to 9:00 pm in the Winter Springs Town Center. The event would include the following: Main Stage, Sound System and Lighting. Musical Talent (Oldies Group) "Dancing in the Streets" LED Screen. Tents, Tables, and chairs. Restroom Trailer Facility and Port-a-Johns. Shuttle Hay Wagon Rides (From Parking Lot at Winter Springs High School to Town Center and back). Children's events including Pumpkin Pie Eating, Pumpkin Carving, Hay Bale and Hay Play Area and Big Pumpkin Photo Area, All attendees will receive unique give-a-way items. The event will conclude with a good 10-minute fireworks display. Several smaller events called "Dancing in the Streets" could be conducted in the Winter Springs Town Center. The events would provide Quality Local Entertainment. A Local Radio Station would do a pre-event from 6:00-7:00 p.m. The actual entertainment would be from 7:00-9:00 p.m. Dates & Entertainment Saturday, September 9, 2006 Saturday, October 7, 2006 Saturday, January 13,2006 Wednesday, February 14,2006 Saturday, April 21, 2006 Michael Andrews, Swinger Head (Our July 4 Entertainment) Hindu Cowboy (Country Western). Celtic Kickoff (Scottish) Valentine Day (Oldies - Romantic) Jazz Festival. FY 05/06 Budget. Budget for each event $ 5,000 $ 3,000 $ 2,500 $ 500 $ 1.500 $ 12,500 Entertainment Staff, Sound, Lights Restroom Trailer Give-A-ways Fireworks (10 Minutes) per event x 4 = $ 50,000 FUNDING: The Saturday, September 9, 2006 Event has adequate funding in FY05/06. RECOMMENDATIONS: The Parks and Recreation Department is recommending City Commission direction to proceed with the planning for the fall event or several smaller events, or any decision deemed necessary.
