HomeMy WebLinkAbout2002 03 25 Regular B Updating the Information Services Master Plan COMMISSION AGENDA ITEM B CONSENT INFORMA TIONAL PUBLIC HEARING REGULAR X 03-11-02 Meeting MGR.~DEP~ Authorization REQUEST: The Information Services Department wishes to receive direction from the City Commission on updating the Information Services Master Plan. PURPOSE: The purpose of this item is to not only update the Commission on the status of1.S. projects, but also to receive direction relative to updating the Information Services Master Plan. CONSIDERATIONS: The Information Services Department (LS.) has accomplished many goals in the past six years, overcoming many hurdles along the way. These accomplishments are outlined in the attached spreadsheet. For the first few years 1. S. has concentrated on internal issues; mainly the implementation of infrastructure necessary for a good, solid network, as well as setting standards and procedures with regard to technology. 1. S. is currently on schedule with all projects as per the original 5-year master plan, However, the time has come to update the five-year plan. Emphasis now needs to shift to external issues such as ways we can better serve the public. U:\Docs\Agenda Items\FY 2002\March 2002\032502 Regular B IS Update 5 year plan.doc FUNDING: RECOMMENDATION: It is recommended that the Commission: ./ review the attached spreadsheet ./ offer general and/or specific input for updating our master plan ./ offer input on prioritization of currently li.sted projects ./ authorize staff to identify a competent consultant to work with staff in developing a sound five year plan which will focus on external interfaces with the public and return a proposal to the Commission for review within ninety days. All went without a problem Installation of Commission Chambers audio visual system Replaced Financial & Utility Billing Software with Munis software Implemented new Land-Based land management software called KIVA Basic Internet Web Site Other Improvements: internet access for employees internet filtering and reporting system (WebSense) internal and external (internet) email on an Exchange Server email filtering system (Mail Essentials) email archiving (Message Journal) network communications equipment (Cisco Routers & Firewall, 3COM Switches) LT. Help Desk Function (Track-It!) for requesting help from I.S. Centralized Telephone System connecting City Hall, Police Department, Public Works, and Fire Internal Web Site (Intranet) for employee use Connected Parks & Recreation to City Hall via ISDN line for data (temporarily until fiber is installed) Yet to be completed in FY 2002 Telephone System update for 2 switches (Police Department & City Hall) Installation of Fiber Optic Cabling to Parks for Data & Telephone Installation of new telephone system at Parks to be integrated with City Phone System Installation of new fiber to connect Fire Station 26 & Utility (Northern Way) for telephone & data connectivity to City Next 5 Year Plan (2003-2008) Have entire network up to Windows 2000 Native mode (workstations & servers) Upgrade Police Server (hardware) and database (software) Implement mobile laptops for officers for mobile reporting, mobile CAD, FCIC/NCIC checks Revamp City's web site (change style, content, make it more dynamic) Kiosk for City Hall lobby Document Management System (I would like to assist the City Clerk in her attemp at this project) Implement centralized backup system Field Inspections via PDA connected into KIVA system E-Commerce: On-line UB payments and account information E-Commerce: On-line Building Permits and Inspections E-Commerce: On-line Occupational Licenses E-Commerce: On-line access to Parks & Recreation registrations Other: To be identified 3/19/02 032502 Regular B 5 Year Plan ATTACHMENT.xls
