Authorization REQUEST: City Manager requests the City Commission consider purchasing extra copies of the City's promotional video presentation, recently produced by the company - Avid Neo Geo, and to set the price point for any copies that are to be purchased. PURPOSE: The City Commission is being asked to determine how many copies of the City's promotional video they wish to have on hand and what the pricing should be for the City's promotional video. CONSIDERATIONS: The City of Winter Springs contracted with Avid Neo Geo to produce the City's promotional video. The City has received a few requests to purchase a copy of the video. However, no price point has been set. Avid Neo Geo can provide the City of Winter Springs with a "Beta Dub Master" which is high quality tape to use for VHS duplication, for a one- time fee of $50.00. If the City purchases a quantity of 50 videos for resale, the videos can be sold at $7.50 each, and recover the costs associated with duplication. FUNDING: If applicable - to be determined. At a Workshop of the City Commission held on March 4, 2002, the first viewing of the City of Winter Springs' promotional video was presented to the City Commission. Comments by the City Commission were made and later incorporated into the revised version of the video. The revised version of the City's first video presentation was presented to the City Commission at the April 8, 2002 Regular Meeting. As far as we can determine, currently there are approximately five (5) copies left of the original thirty (30) videos. The City's video is approximately 8 minutes and 45 seconds long. The City of Winter Springs has received a couple of requests to purchase a copy of the video, however, in addition to the fact that there are very few copies available to sell, no price point has been set. Avid Neo Geo can provide the City of Winter Springs with a "Beta Dub Master" which is high quality tape to use for VHS copies, for a one-time fee of $50.00. According to Ms. Alice Moulton with Avid Neo Geo in a couple of recent telephone conversations, the "Beta Dub Master" can be duplicated by Avid Neo Geo, or by other companies. If Avid Neo Geo was to make VHS copies for the City of Winter Spring, this cost would be $25.00 per VHS videotape. Ms. Alice Moulton explained that a duplication house could provide better pricing, as Avid Neo Geo is primarily an editing company. Several companies were contacted for pncmg, and their quotes are attached. FUNDING: If applicable - to be determined. RECOMMENDATIONS: The City Commission is being requested to determine the following: 1) Does the City Commission wish to have VHS copies of the City's video available for purchase? ~ If the City Commission is interested in having copies of a VHS video available, then the following questions should be answered and incorporated into a Motion: 2) How many copies should be purchased? 3) Will copies be available for purchase? 4) At what price point should the City charge for these videos? (The VHS copies should include labels and slipcases, which depending on the quote, needs to be incorporated into the price). Question #1 : Do we have the "Master" copy of the video from which we can make copies?: Spoke to Alice at Avid Neo Geo. We need a "Dub Master" which would cost us $50 and we could then have it duplicated where ever we want. Question #2: What is the cost of duplicating this video?
