PURPOSE: The purpose of this item is to receive direction on the approaches to complete the project. CONSIDERATIONS: · On January 8, 2001, the City Commission approved the re-Iocation of the batting cages and the reconstruction with city labor and coordination with the sub-contractor. . The construction is almost completed and the costs are as follows: 1. The original budget for this project was $ 52,348.00. 2. The city paid to M.H. Williams Contractor $ 42,156.00 (1st slab and poles plus labor and fencing at new location). 3. Additional out of pocket city costs to complete. Fill Dirt $ 1,155.00 36 Galvanized Poles $ 2,385.00 Concrete for poles $ 1,421.00 Pole installation $ 2,500.00 Concrete for Pad $ 4,394.00 Equipment Rental $ 100.00 1 Stakes, key joints, paint Electrical Sod Active outdoor turf Lay Carpet Irrigation and Landscaping $ 246.00 $ 949.00 $ 440.00 $ 5,004.00 $ 1,200.00 $ 2,000.00 Total out of pocket $ 21,794.00 * $ 63,950.00 * $ 52,348.00 Total city out of pocket cost Original budget Additional out of pocket over the budget expense for Batting Cages $ 11,602.00 . The slab and fencing posts remain on the original site. · These are 3 approaches as to what to do with this site. Approach #1 Cut off the poles and use them elsewhere. Public Works demolish the concrete slab and haul it off. Approach #2 Parks and Recreation and the Little League could use storage areas at Trotwood Park. Storage buildings could be placed and secured to the concrete pad to facilitate park maintenance and also Little League practice equipment. Approach # 3 The Little League would like to use the area as bullpens (practice pitching area). They would pay all costs to fence at 8ft and provide irrigation for tree buffer and install portable mounds and use it for pitchers to practice in. Approach # 4 Parks and Recreation could place park benches on the site and irrigate and landscape near it. FUNDING: Approach # 1 - Estimated $ 500.00 Public Works Labor. Approach # 2 - Parks and Recreation future purchase of storage building $ 4,000. Approach # 3 - No City Cost. Approach # 4 - Estimated cost for Benches, irrigation and landscaping $ 2,000. 2 *The out of pocket cost does not include an estimated contribution of approximately $ 4,400 in contributed city labor. RECOMMENDATION: The Parks and Recreation Department recommends that the City Commission choose alternative # 2 since alternative # 2 would best meet Parks and Recreation need for on site equipment and material storage to improve park maintenance efficiency. IMPLEMENTATION SCHEDULE: June 26, 2001 Implement direction of City Commission. ATTACHMENTS: COMMISSION ACTION: 3
