COMMISSION AGENDA ITEM C CONSENT INFORMATIONAL PUBLIC HEARING REGULAR x I x?/,o I .J..UWO 1 ~ Meeting MGR. /DEP Authorization REQUEST: It is requested that the City Commission decide on the installation of a "queuing" system to show the Mayor in which order individual Commissioners pressed their "request to speak" buttons, and if approved, to authorize a supplemental appropriation for that purchase and installation. PURPOSE: This agenda item is offered to request Commission approval of a system enhancement by which the Mayor can call on individual Commissioners based on the order in which each requested to speak. CONSIDERATIONS: 1. At a recent City Commission meeting, it was requested that staff look into the purchase and installation of a "queuing" system to allow the Mayor to call on individual Commissioners in the order they requested to speak. 2. A check of local vendors revealed that none provide such systems. 3. Staff then called three companies located in the western U.S. based on magazine advertisements. Each was told that we wanted something to interface with our current "request to speak" system. Two companies indicated they only sold complete systems, to include vote tallying systems, video systems, timing systems, and display units, with price tags starting at approximately $15,000, depending on options chosen. 4. The president of Alzatex, Inc., offered to consult with his technical staff to see if they could design a simple queuing system to interface with our existing equipment. Since they have no local representatives, they were connected with Audio Systems of Florida, the company which has done the recent work in the Commission Chambers, to work out technical details. . Audio Systems provided technical data on our existing equipment, and Alzatex has proposed an enhancement that would be installed by Audio Systems at a total cost of $3,988.00 RECOMMENDATIONS: A. Staff recommends that the Commission decide on the desirability of a queuing system to interface with the request to speak system. B. If the purchase is approved, a supplemental appropriation will be require in the amount of $3,988. FUNDING: A supplemental appropriation of $3,988 will be required to cover purchase and installation. In a telephone conversation today, December 3,2001, Mayor Partyka stated, "We don't really need one." Mayor Partyka feels he does a pretty good job tracking everyone, and the.re is no need for this additional expenditure.
