REQUEST:
Information Services wishes to inform the Commission of
its options with the use of e-Alerts as an additional form of
communication with residents and requests that the
Commission make choices based on the information
received.
PURPOSE: To obtain Commission direction on the use of e-Alerts.
CONSIDERATIONS:
At the September 22, 2008 Commission Meeting, Information Services
was asked to bring back recommendations or options regarding lists to be
added to e-Alerts to which residents may subscribe in order to receive
informational updates whenever new information becomes available.
e-Alerts is currently being used to send emergency alerts to subscribers for
the topics chosen by the subscriber. Our intent is to use the same system,
add a new list for sending non-emergency alerts, and add topics of interest
to that list to which people may subscribe. Each department would be
required to submit new information to the help desk for submission to the
e-Alerts system. When new information is posted to one of these topics,
an alert will be sent to all the subscribers of that particular topic.
When a user subscribes to this service, he/she chooses the topics within
their chosen list that they wish to receive. When an alert is sent to the

subscriber, it will contain a link to the new document or web page where
the new information can be found.
We request that Commission choose a name for the new list. Some ideas
are as follows:

· eCitizen Update or e-Citizen Update
. eMessages or e-Messages
. Citizen Informer
. The Advisor
. The Winter Springs Advisor

In addition to choosing a name for the new list, we request that
Commission determine which alerts are to be included on the new list.
The Information Services Director solicited input from the Florida Local
Government Information Systems Association (FLGISA) which is a
professional LT. organization with membership inclusive of municipalities
and counties across the State of Florida. The question posed to the
organization was, "What information or documents do you make available
via your web site or from a subscription based system?" The following
information was compiled from the results of that input as well as
conversations with and ideas from other organizations and individuals.

o City newsletter
o List of City meetings and events for the month
o Various City board meeting notices including cancellations
o Press releases
o Special events and concerts
· Mayor - State ofthe City address
. Commission:
o agenda and minutes
o meeting audio
o meeting notices including cancellations
. City Manager:
o City Manager's Blog (Hallandale Beach)
o City Manager briefings, budget, and annual reports
. Parks & Recreation:
o Special events and concerts
o league sign-up

FUNDING:
No funding is required.
RECOMMENDATIONS: We recommend that the Commission choose the name of the list as
well as the items that are to be included on the list.
