REQUEST: Information Services requests the Commission discuss
Chambers audio system issues and provide direction as to
how they wish to proceed.
PURPOSE: To discuss Commission chambers audio issues.
CONSIDERATIONS:
Commission has expressed concern over audio issues within the
Commisson Chambers. A concern raised by Commission is the difficulty
in listening to audio tapes provided by the City Clerk. Another issue
pertains to the microphone bases for the two wireless mics on the speakers
table being too short to allow the speaker to have documents in front of
them while still allowing the mic to be close enough to the person
speaking so they can be heard.
The City Clerk currently records on two systems. One is a cassette tape
deck and the other is a digital recording system which is called For The
Record or FTR. The FTR digital recordings are available on the City's
website by going to www.wintersprin sg fl.or~; position your mouse over
the Mayor and Commission gray tab at the top of the page and a drop
down menu will appear. The last item on the menu is City Commission
Meeting Audio. Once that is selected, the City Commission Meeting
Audio page will appear which lists all of the current year's audio as well
as the prior year's audio archive. The digital recordings are usually very

clear. The audio can be played directly from the web site or a digital copy
on CD can be requested from the City Clerk. Cassette tapes may also be
requested.
The issue of the two shorter mic bases on the speakers table has been
resolved. Taller more configurable mic stands have been purchased and
installed.
The issue of not being able to hear everything on the tapes is usually
caused by one or more of the following:
• the mic not being close enough to the Commissioner or person
speaking
• more than one person speaking at the same time
• the mic not being turned on at all when the Commissioner is speaking
• the mic being turned on half way through a sentence
Lapel mics have been previously discussed. If the mounted mics were to
be replaced with lapel mics, each Commissioner would have to remember
to turn the mic on and off each time they wanted to speak just as they do
now. However, the lapel mics are not as durable as the mounted mics and
are usually more problematic over time.
We are not aware of any other issues. If there are other issues, please
advise us so that we can research and bring back some options.

RECOMMENDATIONS:
We recommend:
• Commission discuss issues relative to the current Commission
Chambers audio system
• Provide direction with regard to how to proceed with audio system.
