PURPOSE: The purpose of this Board item is to request a supplemental appropriation of $40,500 for the Repairs and Maintenance to City Hall from General Fund Reserves for unanticipated expenses related to roof repairs, A/C replacement, facade sandblasting & painting, and parking lot repairs. CONSIDERATIONS: This supplemental appropriation is needed to cover costs associated with the maintenance of City Hall. Specifically, there are four major maintenance items: 1. Roof repairs - $9,000 2. A/C Replacement - $13,000 3. Facade Sandblasting and painting - $8,000 4. Parking Lot repairs - $10,500 The cost of these items exceeds the amount available in the Repair & Maintenance City Hall line code. Amore detailed explanation is as follows: Roof repairs -The scope of work includes resealing all roof penetrations and lap joints. We have had two significant leaks in the last several months. This work will extend the roof life 3 to 5 years. Roof replacement is estimated to cost $75,000 to $100,000. It was last done in approximately 1996. A/C Replacement -City Hall has 11 A/C units. We have replaced 10 of the 11 original (1984) units. The last original unit is recommended for replacement. Delivery time is approximately 6 weeks. 071408_COMM_Consent 209_Supp_Appr_City_Hall Consent Agenda Item 209 July 14, 2008 Page 2 Facade Sandblasting and Painting -The decorative steel tubing (facade) at the entrance to City Hall is severely rusted. Originally, we planned on using Public Works personnel to brush and paint the tubing. However, the corrosion requires sandblasting particularly at the structural attachment to the building. Deferring this work will likely require the replacement of this structure in the future. Parking Lot Repairs -There is a decorative concrete area of about 1,500 square feet at the City Hall main entrance area that has been failing the last few years and needs replaced. The concrete is spalling in many areas and hollow in others. We are recommending the area~be redone with concrete pavers left over from the Blumberg Boulevard job. The installation cost for the City provided pavers is projected at $10,500. The cost to replace with concrete is about $10,000 and replacement with asphalt is about $6,000. FUNDING: The $40,500 needed would be appropriated from General Fund Reserves to the Repairs and Maintenance City Hall line code (1910-54661). RECOMMENDATION: It is recommended that the City Commission approve a supplemental appropriation of $40,500 to Repairs and Maintenance -City Hall line code (1910- 54661 for the roof repairs, A/C replacement, Facade sandblasting and painting and parking lot repairs.
