Authorization REQUEST: Parks and Recreation requests that the City Commission reconsider approval and funding the July 4 Celebration of Freedom on a reduced smaller scale. PURPOSE: This agenda item is needed for the City Commission to consider if it wishes a reduced smaller scale July 4 Celebration of Freedom. CONSIDERATIONS: • At the April 14, 2008 City Commission meeting, the City Commission approved forgoing any spending for all community or Town Center events for which there are not offsetting dollar for dollar donations or sponsorships, including the July 4 Celebration of Freedom. • Parks and Recreation staff has received several requests from the public, Rotary Club, vendors, and also received a sponsorship check for $4,000 for the Celebration of Freedom. Parks and Recreation believes it still can raise an additional $5,000 in vendors/booth sales. • If desired, staff could also charge a $1.00 per person event fee to Central Winds Park to help cover the expenses. Additionally, we believe we can raise $10,000 in donations. SMALL SCALE BUDGET DESCRIPTION COST Firework Display (20 minutes) $15,000 Small Stage and Audio $ 5,000 Police (OT) $20,000 Fire (OT) $ 3,000 Parks and Recreation (OT) $ 1,000 Public Works (OT) $ 1,000 Restrooms (2 Trailors, Portalets) $ 3,500 Security Items (Barricades, Fences, Cones) $ 4,000 Light Towers (35) $ 4,500 Traffic Control (Sign Boards) $ 1,000 TOTAL $58,000 Agenda Item Regular 603 May 27, 2008 Page 2 • The following would not be done: Professional staging and personnel; national entertainment; weather insurance; advertising; bus transportation; generators; and misc.
