Authorization REQUEST: The Parks and Recreation Department wishes to inform the City Commission regarding the July 4 Celebration of Freedom/50~' Anniversary. PURPOSE: The purpose of this item is to inform the City Commission regarding current planning discussions for July 4. CONSIDERATIONS: • Staff again discussed the cooler/backpack policy. Small coolers and backpacks will be allowed but will be checked by the police department. Checking tables will be set-up outside park entrances. Also, those with large coolers will be notified prior to boarding buses by the police department. The public will be notified of the policy through the newsletter, website, news media and signage. • The individuals and companies involved in the stage and production coordination are: o Steven Richart -Stage Manager, Coordinate timing of video and audio and transition. o Dennis and Voncile Franklin -Stage, Sound and Lighting. They will look into projecting the sound and possibly remote speakers. o Palm Tree Mobile Billboards (LED Screen). o Creative Pyrotechnics (Fireworks Display). o Full Sail (Video) o IT Department Randy Arcebido (Video) A separate production meeting to coordinate all entities will be set up soon. Communication will be coordinated through the command center which will be located near the Parks Maintenance Facility. Each department is to provide a representative who has knowledge of their staff working the event and a communication mode. A soccer field will be established for the emergency landing area instead of the small baseball field. A hydration station tent will be set up in the area behind the stage for staff. ;.R . Agenda Item Informational 101 May 26, 2009 Page 2 • Event t-shirts will be purchased and sponsored. All staff working except Police and Fire are to wear them. The event t-shirts will also be produced with the colors reversed and sold to the public at the historical tent. • The revenue collection strategy is to set up donation stations near entrances, kids area and historical tent. They will be staffed by Events Committee Members. This will be done in lieu of charging a fee at the gate or a parking fee for this year. FUNDING: City funding up to $51,000 to be reduced by sponsors, vendors, donations and staff cost reductions, etc. to attempt to cover all costs. RECOMMENDATIONS: Parks and Recreation recommends that the City Commission review the information presented and provide further direction as needed.
