HomeMy WebLinkAbout1999 06 28 Regular Item E COMMISSION AGENDA ITEM E CONSENT INFORMATIONAL PUBLIC HEARING REGULAR X 6-28-99 Meeting MGR. f(JJ /'1\.. /DEP~ Authorization REQUEST: Information Services Department requests that the Commission decide whether to get a Direct Inward Dial telephone number for the commission office. PURPOSE: The purpose of this item is to ask the commission to decide whether they want a Direct Inward Dial telephone number for the commission office. CONSIDERA TIONS: The commission office already has a complicated telephone setup consisting of many existing telephone numbers and configurations: ~ First of all, there are 5 commissioners; each commissioner has their own Direct Inward Dial # which is routed directly to their own respective voice mailboxes. This is set up this way because the Commissioners are not in the office on a regular basis. ~ Another way to reach a Commissioner is from the main City Hall greeting in which the commission calls are routed directly to the City Clerk per the City Manager's request so that the public can talk to a live person. ~ The Commission Office has two telephones and the official Commission Office extension is 252, which rings on both phones. If someone from outside the system wanted to reach a commissioner who was in that office, they would dial 327-1800 (City Hall), wait for the main greeting to start, press # (pound), and dial 252. This would take them directly into the commission office just the same as a DID#. ~ A DID# can be added to both phones with some programming which would cost approximately $150-$200 programming time/call re-routing time. This would serve the same purpose as the existing extension number currently assigned to the Commission phones. This would be a generic "Commission" phone number for that office and would ring on both phones. Page 2 of2 Regular Commission Agenda Item E June 28, 1999 FUNDING: Funding would come from current General Fund telephone expense. RECOMMENDATION: Staff is at a loss to understand how the Commission is better served by this alternative. However, if the Commission feels this in some way improves their ability to serve the public, we will implement the changes within two weeks. The commission office can already be accessed directly by dialing 327-1800 X252. If there is no answer, it goes to voice mail, which gives the caller a choice of which commissioner to leave a voice mail with. IMPLEMENTA TION SCHEDULE: Implementation upon commission approval.
