COMMISSION AGENDA ITEM G REGULAR x CONSENT INFORMATIONAL September 9 ~ 1996 Meeting MGR f(Jvf/ /DEPT Authorization REQUEST: City Manager requests City Commission to accept a donation of $2430 from the Winter Springs Rotary Club to update the RUOK computer system, to authorize the Mayor to send a letter of appreciation to the Rotary Club, and to authorize the City Manager to expend $4,861 to update the system as described herein. PURPOSE: The purpose of this item is to gain authorization to fund improvements to the RUOK system for the senior citizens to be administered by the Police Department. CONSIDERA TIONS: In 1991 the Winter Springs Rotary Club funded the City's first RUOK computer system. This system is currently outdated, unserviceable and in dire need of replacement. Some of the problems with the current system include the hard drive dropping data, a growing number of bad sectors on the disk, inadequate memory and speed, and an ongoing problem with the system bringing up an error during the calling process; when this happens the calling stops. We have been unable to correct this problem even though we have replaced some of the hardware. The Rotary Club has agreed to pay one-half of the cost of updating the system which includes the following: . RUOK software program from Northland Innovation Corporation in "",,:: " September 9, 1996 Regular Agenda Item Page 2 of3 Minneapolis, Minnesota. The cost is $3,500 + $50 shipping for a total of $3,550. . Pentium 100 MHZ computer, desktop, 850MB hard drive, DOS 6.22, Keyboard, 14" monitor, 3-1/2" floppy disk, and a full-length ISA bus slot for a voice board. The cost for this is $1,279. . Other miscellaneous equipment needed is a Radio Shack one-watt speaker/amp (catalog #32-2040), a Radio Shack AC adapter (catalog #273-1454), and a Radio Shack audio cable (catalog #42-2387). The cost of these miscellaneous items is approximately $32.00. Total cost of this system $4,861. FUNDING: Funds are available in the General Fund General Government Contingency line code 1900-56910. The City's half would be $2,431. IMPLEMENTATION SCHEDULE: The hardware and software can be installed and operational within one month from the time the orders are placed. RECOMMENDATION: 1. The Commission receive a donation of $2,430 from the Winter Springs Rotary Club to aid in the funding of the updating of the RUOK computer system. 2. The Commission authorize the Mayor to send a letter of appreciation to the Winter Springs Rotary Club in behalf of the City. 3.
