HomeMy WebLinkAbout1996 07 08 Consent Item F ~ Q COMMISSION AGENDA ITEM F REGULAR CONSENT X INFORMA TIONAL 7/8/96 Meeting MGR. ~Wlll IDEPTOV Authorization REQUEST: The Parks and Recreation Department requests that _the City Commission review the information regarding the City of Winter Springs Annual Employee Picnic scheduled to be held October 12, 1996 from 10:00am to 3:00pm at Central Winds Park. PURPOSE: The purpose of this item is to update the City Commission on the planning preparations regarding the event which will be attended by City employees, Commissioners, Board members and their families. CONSIDERATIONS: * The picnic has been planned by a committee comprised of the following staff members: (each Department represented) Linda Godkin Mary Wilson Ellen Simpson Martha Jenkins Allen Hill Patricia Schraff Parks and Recreation Department General Services Police Department City Clerk's Office Public Works & Utilities Fire Department * The committee has received quotes from food and other vendors as follows: The COlll1try General Store Jr. BBQ Red's Bar-B-Que Moonwalk rental $2,262.00 ($6.00 adults-$3.50 child) $2,451.25 $2,915.38 $ 100.00 .,. 'i * * The food quotes encompass feeding an estimated 175 children and 275 adults for a total of 450. * The low quote would provide hamburgers and hotdogs for the children along with one (1) roasted pig and Boston butts (like pork roast), baked beans, coleslaw, garlic bread, iced tea and lemonade. It has been suggested that. potato salad be added to the menu also. The vendor will supply all paper goods, plastic ware, cups, ice, etc. The following entertainment and games are being planned: Clowns Softball Games Miniature Golf Moonwalk Entertainment provided by City Staff ISSUE ANALYSIS: FUNDING: N/A * * The estimated cost of hosting the event is $2,800.00. The 1995/1996 budget was funded at $1,700.00 for this event and funding in the amount of$1,700.00 in line code 1200-54810/ Employee Relations has been requested in the 1996/1997 budget to host the function again. Note: Due to the event being scheduled October 12, 1996 the 1995/1996 funding could be carried over to compliment the additional cost estimates for food, etc in 1996/1997. RECOMMENDATION: * The Parks and Recreation Department recommends that the City Commission grant approval to host the Annual Employee City Picnic at Central Winds Park on October 12, 1996 and requests that the Finance Director take the appropriate action to carry over the $1,700.00 funded in the fiscal year 1995/1996 budget to the Fiscal year 1996/1997 budget at the appropriate time in order to accommodate the estimated $2,800.00 event cost. ~ '" .r IMPLEMENTATION SCHEDULE: ATTACHMENTS: Picnic scheduled to be held Saturday, October 12, 1996.
